Smart Collections

Smart Collections are saved views that update automatically. Instead of manually adding records to a folder, you define rules, and DeepGrooves shows the records that currently match.

Use Smart Collections when you want answers like:

"Show high-value records."
"Show records missing condition."
"Show wishlist items under my target."
"Show first pressings from the 1970s."
"Show records that need storage cleanup."
"Show records that need purchase/proof or pressing identity cleanup before insurance."

Smart Collections vs Folders

Folders and Smart Collections solve different problems.

Feature	Best for
Folder	A hand-picked group that changes only when you edit it
Smart Collection	A rule-based view that updates as your records change

For example, you might create a folder called "Listening Party" and manually choose records. A Smart Collection called "Missing Condition" updates automatically whenever a record is missing a condition grade.

Built-In Smart Collections

DeepGrooves includes built-in recipes so you can start without building rules from scratch.

Built-ins may include collector and cleanup views such as:

Built-ins are useful shortcuts. You can pin them, use them as cleanup lists, or create custom views for your own needs.

Opening a Smart Collection

Open Smart Collections from the app navigation.
Choose a built-in or saved Smart Collection.
Review the matching records.
Use pagination or filters if the result set is large.

If the view has no matches, that is usually good news for cleanup views. It means no current records match the rule.

Creating a Custom Smart Collection

Custom Smart Collections let you combine criteria.

Common criteria include:

Criteria	Example
Format	LP, 7-inch, CD, cassette
Year	1970 through 1979
Genre	Jazz, rock, soul, classical
Condition	VG+ or better
Value	Over 100
Storage	Missing or assigned to a location
Wishlist state	Wishlist, upgrade watch, target price
Collector flags	First pressing, promo, colored vinyl, limited edition

Use a name that describes the rule clearly. "High value jazz" is better than "Stuff."

Combining Criteria

Smart Collections become powerful when you combine rules.

Examples:

Goal	Possible criteria
Insurance review	Value over 100 and missing artwork or missing condition
Listening picks	Owned records, not recently played, favorite or high rating
Upgrade hunt	Upgrade Watch items with desired condition and max price
Cleanup session	Missing storage and format is LP
Gift ideas	Wishlist items with priority high and max price under 50

Start simple. Add more criteria only when the result set is too broad.

Previewing Before Save

Preview shows what the Smart Collection would return before you commit to it.

Use preview to catch mistakes. If the preview is empty and you expected records, loosen one rule at a time.

Pinning and Ordering

Pin important Smart Collections so they are easier to reach.

Pinning changes navigation and visibility. Reordering helps keep your most-used views near the top.

Good candidates to pin:

Missing condition.
High value.
Wishlist under target.
Recently added.
Your most-used genre or decade view.

Empty States

An empty Smart Collection means no records currently match the rules.

For cleanup views, an empty state can mean you are done. For custom views, it may mean the criteria are too narrow.

Try:

Removing one criterion.
Checking spelling in text fields.
Broadening year or value ranges.
Confirming whether you are looking at Collection or Wishlist records.

Sharing a Smart Collection

You can share a Smart Collection when you want to publish or send a focused slice of your library.

Before sharing, check the scope carefully. A Smart Collection share should show only the records that match that Smart Collection, not your full collection.

The share dialog should clearly name the saved Smart Collection, show the public link when it is ready, and offer link, image, download, and email actions without changing the records in the saved view.

Useful share examples:

High-value insurance prep list for yourself.
Wishlist gifts under a certain price.
A public list of favorite jazz records.
A cleanup list to review on another device.

Editing or Deleting Custom Views

Edit a custom Smart Collection when the idea is still useful but the rules need tuning.

Delete a custom Smart Collection when you no longer need the saved view. Deleting the Smart Collection should not delete the records inside it. It only removes the saved rule.

Troubleshooting

A Smart Collection has records I did not expect

Open the criteria and check whether the rules are broader than intended. A missing criterion often explains surprising matches.

A Smart Collection is empty

Remove one rule at a time or preview after each change. Also check whether the records have the data the rule depends on.

My pinned Smart Collection is not visible

Refresh the page and check whether it is still pinned. If you reordered items, it may have moved lower in the list.

Sharing shows the wrong records

Confirm that you are sharing the Smart Collection scope, not the full collection or a different saved view.

A cleanup Smart Collection keeps finding the same records

Open one record and make sure the cleanup data saved to the correct copy. Some grouped albums can contain multiple copies with different completeness.
