DeepGrooves Music Technologies LLC (“DeepGrooves,” “we,” “us,” or “our”) operates the DeepGrooves music-collection web application, website, and related services (the “Service”). This policy explains what information we collect, why we use it, and the choices available to you.

1. Information we collect

  • Account information: email address, authentication identifiers, profile settings, subscription status, and acceptance of legal terms.
  • Collection information: albums, pressings, artwork references, wishlist entries, ratings, notes, tags, condition, storage locations, play history, market-value context, import data, and sharing settings you choose to add.
  • Support and communications: messages, bug reports, diagnostic details, and other information you send to us.
  • Technical information: device and browser details, IP-derived security information, request logs, diagnostics, feature usage, and performance or error telemetry.
  • Payment information: subscription and transaction status supplied by our payment provider. We do not store complete payment-card numbers.

2. How we use information

We use information to provide and secure the Service, maintain your collection, process imports and subscriptions, personalize collection features, answer support requests, diagnose problems, improve product quality, prevent abuse, comply with law, and communicate important account or policy changes.

3. DeeJay and AI features

When you use DeeJay, an AI-backed Smart Next selection, or another AI-assisted feature, your prompt and the limited collection context needed to answer it may be processed by an AI service provider such as OpenAI. Depending on the feature, that context may include shortlisted album titles and artists, recent listening history, play counts, last-played dates, ranking signals, cached genre or mood descriptions, and selected genre or mood. Random Next selections and cached ranking steps do not require request-time AI processing. We limit the context sent to what is needed for the requested feature and use technical and contractual controls appropriate to the integration. Do not include sensitive personal information in AI prompts.

4. Service providers and external data

We use service providers for hosting and databases, authentication, email, payments, analytics or diagnostics, AI processing, and music metadata. Current integrations may include Supabase, Vercel, Square, OpenAI, Discogs, MusicBrainz, Spotify links, and other catalog or artwork sources. These providers process information under their own terms and privacy policies.

DeepGrooves is not affiliated with or endorsed by Discogs, MusicBrainz, Spotify, or their respective owners.

5. Sharing and disclosure

We do not sell your personal information. We may disclose information to service providers working for us, when you intentionally create a public or shared collection link, to protect users or the Service, to complete a business transaction involving the Service, or when required by law.

6. Collection sharing

Your collection is private by default. If you create a sharing link, the records and fields included in that shared view may be accessible to anyone who receives the link. You are responsible for reviewing the scope before sharing and for disabling links you no longer want active.

7. Retention and security

We retain information while your account is active and as reasonably necessary to provide the Service, resolve disputes, enforce agreements, maintain security, and satisfy legal obligations. We use reasonable administrative, technical, and organizational safeguards, but no online service can guarantee absolute security.

8. Your choices and rights

You may review or edit much of your collection data in the Service. You may also request access, correction, export, or deletion of personal information, subject to identity verification and applicable legal exceptions. Browser and device controls may allow you to limit cookies or local storage, although some functions require them.

9. Children

The Service is not directed to children under 13, and we do not knowingly collect personal information from children under 13. Contact us if you believe a child has provided personal information.

10. International use

DeepGrooves is operated from the United States. If you use the Service elsewhere, information may be processed in the United States or other countries where our providers operate.

11. Changes to this policy

We may update this policy as the Service or legal requirements change. We will update the date above and provide additional notice when a change is material.
